The names and email addresses you provide to InformedLens Journals are used exclusively for the stated purposes of this journal. They will not be made available to any third party and will not be used for any commercial, marketing, or unrelated purpose.

This statement applies to all individuals who register with, submit to, review for, or read InformedLens Journals - including authors, reviewers, editors, and readers.


1. Overview

The InformedLens Journals is published by InformedLens and operated through Open Journal Systems (OJS). This Privacy Statement explains what personal data InformedLens Journals collects from users of the journal website and platform, how that data is used, and the rights you have in relation to your personal information.

By registering with or using the InformedLens Journals platform, you acknowledge that you have read and understood this Privacy Statement. InformedLens Journals is committed to handling personal data responsibly and in accordance with applicable data protection principles.


2. Data We Collect

InformedLens Journals collects only the personal data that is necessary for the operation of the journal. The data we collect depends on your role and how you interact with the platform.

Role Data Collected
All registered users Name, email address, institutional affiliation, country, and username. Passwords are stored in encrypted form and are never visible to journal staff.
Authors ORCID iD (where provided), author biography, and submission-related correspondence. Manuscript files and metadata are retained as part of the publication record.
Reviewers Review reports, declared areas of expertise, and review history. Reviewer identities are kept confidential from authors throughout the double-blind process.
Editors Editorial decisions, correspondence with authors and reviewers, and manuscript handling records. These are retained as part of the journal's editorial record.
Readers Email address and name, if registered for the Table of Contents notification service. Unregistered readers are not tracked individually.

Technical data: The OJS platform may automatically collect standard server log data such as IP addresses, browser type, and pages visited. This information is used solely for system administration and is not linked to individual user profiles.


3. How We Use Your Data

Personal data collected by InformedLens Journals is used only for purposes directly related to the operation of the journal. Specifically:

Manuscript processing To manage submission, peer review, editorial decision, and publication workflows.
Communication To send submission confirmations, editorial decisions, reviewer invitations, revision reminders, and production notifications.
Table of Contents alerts To send registered readers an email notification when a new issue is published. This service is opt-in only and can be cancelled at any time.
Publication record Author names and affiliations are published as part of the permanent scholarly record of accepted articles. This is a necessary and expected part of academic publishing.
Reviewer acknowledgement With their consent, reviewer names are listed in the annual reviewer acknowledgement published on the InformedLens Journals website.
Journal statistics Aggregated, anonymised data (such as submission volumes, country of origin, and readership figures) may be used in internal reports and public-facing journal statistics. No individual is identifiable in these reports.

We will never: sell your personal data, share it with advertisers, use it for commercial marketing, or provide it to third parties for any purpose unrelated to the scholarly publishing functions of InformedLens Journals.


4. Reader Notification Service

InformedLens Journals encourages readers to register for the journal's publishing notification service. Registered readers receive an email containing the Table of Contents each time a new issue is published. This allows you to stay up to date with the latest research in your field without having to check the journal website manually.

To register for notifications, use the Register link at the top of the journal home page and select the notification option during registration. If you are already registered as an author or reviewer, you can enable notifications by logging in and updating your profile settings.

This list also helps InformedLens Journals: Reader registrations contribute to the journal's readership record, which can be referenced when reporting journal reach, applying for indexing, and demonstrating community support. Your registration is a meaningful contribution to the journal's visibility.

5. Data Sharing

InformedLens Journals does not sell, rent, or trade personal data. Data is shared only in the following limited and necessary circumstances:

  • Within the editorial team: Editors and editorial staff have access to author and reviewer information as required to manage the peer review and publication process. All editorial team members are bound by confidentiality obligations.
  • OJS platform: The journal operates on the Open Journal Systems (OJS) platform, provided by the Public Knowledge Project (PKP). Personal data is stored on servers managed in accordance with PKP's own privacy and security standards.
  • Indexing and abstracting services: Published article metadata - including author names, affiliations, and abstracts - is shared with indexing services (such as Google Scholar and subject databases) as a standard part of open access publication. This is limited to published work only.
  • ORCID: If you provide your ORCID iD, your published article may be linked to your ORCID profile in accordance with ORCID's own privacy policies.
  • Legal requirements: InformedLens Journals may disclose personal data if required to do so by law or in response to a valid legal process.

6. Data Retention

InformedLens Journals retains personal data only for as long as is necessary for the purposes for which it was collected, or as required by the standards of scholarly publishing.

  • Published articles: Author names, affiliations, and article metadata form part of the permanent scholarly record and are retained indefinitely as part of that record.
  • Submission and review records: Correspondence, reviewer reports, and editorial decisions are retained for a minimum of five years after the final decision, in line with best practice for academic publishing transparency and integrity.
  • Registered user accounts: Account data is retained for as long as the account remains active. If you wish to have your account removed and your data deleted (to the extent permitted by the scholarly record obligations above), please contact the editorial office.
  • Notification list: Reader email addresses are retained for as long as the notification subscription is active. You may unsubscribe at any time.

7. Your Rights

You have the following rights in relation to your personal data held by InformedLens Journals. To exercise any of these rights, please contact the editorial office at info@informedlens.com.

Access You may request a copy of the personal data InformedLens Journals holds about you.
Correction You may request that inaccurate or incomplete personal data be corrected. You can update most profile information directly by logging in to your account.
Deletion You may request deletion of your personal data. Note that data forming part of the published scholarly record (such as author names on published articles) cannot be deleted, as this would undermine the integrity of the academic record.
Withdrawal of consent Where processing is based on your consent (such as notification subscriptions or reviewer acknowledgement listing), you may withdraw consent at any time without affecting the lawfulness of prior processing.
Objection You may object to the processing of your personal data in certain circumstances. We will consider and respond to all such requests in good faith.

8. Cookies

The InformedLens Journals platform uses session cookies to support user authentication and navigation. These cookies are essential for the platform to function correctly - for example, to keep you logged in during a session. They are not used for advertising or cross-site tracking, and they are deleted when you close your browser or log out.

InformedLens Journals does not use third-party advertising cookies, analytics cookies that track individual behaviour across websites, or any form of profiling cookies. You may configure your browser to refuse cookies, but doing so may prevent you from logging in to the platform or using some of its functions.


9. Security

InformedLens Journals takes reasonable technical and organisational measures to protect personal data against unauthorised access, loss, or disclosure. These include:

  • Encrypted password storage - your password is hashed and is not visible to any member of the editorial team
  • HTTPS encryption for all data transmitted between your browser and the InformedLens Journals platform
  • Access controls limiting who within the editorial team can view specific types of data
  • Regular software updates and security patches applied to the OJS platform

No system can be guaranteed completely secure. If you become aware of any potential security issue relating to your account or data held by InformedLens Journals, please notify us immediately at info@informedlens.com.

Keep your account secure: Choose a strong, unique password for your InformedLens Journals account and do not share your login credentials with others. If you believe your account has been compromised, change your password immediately and contact the editorial office.
